Job Description ROLE COMPETENCIES:
Our client based in Centurion requires the skills of a Project Administrator
The project administrator is responsible for handling the day to day administration for the Project Office

Project Administration Duties:
• Ensure the filing of all project lifecycle artefacts in accordance with the PM framework.
• Support the Project Managers in the running of identified project sponsor and project progress meetings; minute taking, presentation and coordination of activities including logistics.
• Planning of complex travel itineraries on identified projects, booking resource accommodation, transport, arranging visas etc.

Financial Management Duties:
• Appropriate and on-time Project opening in ACCPAC including definition of revenue method (Jobs/ Phase codes)
• Record the project ‘actuals' in the appropriate tracking mechanisms to enable early detection of issues, ensuring corrective action and escalation where appropriate in support of the

Project Manager
• Vet PM timesheet information against delivery notes and capture in appropriate recording mechanisms in accordance with accounting methods
• Assist the Project Manager in compiling financial governance documentation where needed

Stakeholder management Duties.
• Produce weekly status report packs and ensure distribution to all stakeholders
• Actively share with business all relevant information with business pertaining to the project delivery activities executed within the program of works.
• Establish a good communication network across all disciplines within the project delivery chain.

People Management Duties:
• Provide meaningful and objective feedback to staff in support of the performance review processes.
• Maintain high levels of self-development in accordance with personal development plans

Management Feedback Duties:
• Actively participate in the weekly resource and project meetings and present relevant reports, note taking and escalate potential issues at the meeting.

KPI's (Outputs)
1. Produce updated project list for weekly Project meetings
2. Update project schedules in EPM timeously
3. Accurately capture all project management ‘Actuals' (delivery notes) timeously
4. Accurately schedule meetings according to framework including drafting of agenda
5. Timeously plan and manage logistics for identified resources
6. File project lifecycle artefacts in accordance with the framework when they become available

Skills
• Excellent command of both spoken and written English language
• Excellent command of MS Office applications (especially Word, Excel and PowerPoint)
• Good knowledge of EPM (Enterprise Project Management tool)
• Must be EPM Certified
• Knowledge in Project Management methods
• Basic knowledge in accounting standards and practices

CAPABILITIES

• Excellent organisational skills

EXPERIENCE
• Understand Basic Project Management methodology.
• Minute taking.
• An understanding of general accounting processes
• Understanding of Corporate Travel practices and procedures
• Understanding of good office practice
• Previous project administrator experience
